Cancellation Policy
We always try to be as accommodating as possible to assist our clients; however, we have revised our cancellation policy due to the increased demand for treatments. As of 1st May 2022, we will take full, upfront payments on all treatments. All new patients will be required to have an initial consultation for their treatment. Full payment will be taken at this stage and credited to the cost of your treatment. However, if you are deemed unsuitable for the treatment by one of our medical team, it will be refunded or credited to your account. Please give us at least 48 hours notice for cancelling or rescheduling any appointments. If you fail to cancel or reschedule within the 48-hour period, we reserve the right to refuse refunds or reschedule. You may cancel or reschedule via email, booking portal or by phoning the clinic. If you are running late for your appointment, please call us on 0141 333 1900. If you arrive later than 10 minutes after your appointment time, you may be marked as a no-show, and we cannot guarantee that your appointment will go ahead. New Patients
All new patients must complete a new patient intake form before their first appointment. All information will be treated as confidential and protected per GDPR. Patient information will be added to our important information mailing list but will not be shared with third parties without written permission. You may choose to remove yourself from our mailing list at any time by unsubscribing. You will be invited to join our patient portal, where all your shared notes include past and upcoming appointments. Occasionally, we may require sharing of information using this portal.
Virtual/Telephone Consultation
We have developed a telehealth platform to help us work with patients who cannot attend the clinic. Although the best results are obtained when you attend your appointments, telehealth is an option. All patients will be expected to attend a face-to-face appointment before being eligible for future telehealth appointments unless, under extreme circumstances, at the complete discretion of the professional performing the treatment.
Appointments
Please provide as much notice as possible if you need to cancel or reschedule your appointment so we can best use our diary. Aesthetics treatment consultations are free of charge, as are laser treatment consultations; however, all laser treatment plans will require a Laser Patch Test charged at £5, payable at the time of your consultation. Consultations for Medical Weight Loss will be charged according to your chosen payment plan. A full refund will be given if you are unsuitable for the treatment. Strathearn Clinics operates a 48hr cancellation policy. If you do not attend a booked appointment and fail to advise us in advance, you will forfeit your appointment, and no refunds will be given. If you are unable to attend your appointment and it is less than three days before, please get in touch with the clinic, and we may be able to reschedule (at management's discretion) If you are undergoing a course of treatment as part of a package and fail to attend or do not provide three working days’ notice of cancellation or change, the missed treatment will be forfeited; however, your remaining treatments will still be honoured. If patients on a treatment plan fail to attend multiple appointments, the practitioner may require the program to be terminated and will require a new consultation and treatment plan before treatments can commence. Please do NOT attend the clinic for an appointment if you are unwell. If you need clarification, please call, and discuss. Many treatments are contraindicated if you are unwell; this includes colds, cold sores, or local skin infections. As a courtesy, routine review appointments are offered after aesthetic treatments such as Botulinum Toxin. If you cannot attend the review appointment, usually after 2-3 weeks, we may be unable to offer you additional treatments or “top-up” treatments until a suitable time has passed (usually six months). New patients are seen for initial consultation and assessment; treatment is not recommended on the first visit to allow an adequate cooling-off period but may be provided if the patient and practitioner deem it suitable.
Children
We do not treat children or young adults under the age of 18. Please only bring children to the clinic if they are old enough to wait unsupervised. Children under 12 must have a responsible adult accompany them in the waiting room during your consultation/treatment. Children will not be allowed to accompany you into the treatment rooms.
Payments
Payments for treatments will be made in advance of the treatment and are subject to our cancellation policy. Payment can be made via our booking portal on our website, by telephone or by direct balance transfer (however, this process may delay treatment). We accept all major credit and debit cards; in-person card and cash payments may also be taken with prior arrangements with the clinic.
Refunds
Fees charged for treatment are for the delivery of a treatment and the accompanying service, which is inclusive of the following: - consultation and assessment - provision of information and advice - accompanying medication(s) and equipment - follow-up appointments and aftercare advice and support as appropriate Whilst we undertake to provide excellent service, factual, honest, and ethical advice, safe, expert treatment in experienced hands and only the best products, we cannot guarantee your results. We cannot offer refunds if the results fail to meet your expectations. All packages are to be paid in full before treatment commences. All packages and treatments are non-refundable and non-transferable.
Packages
Medical Weight Loss: All medical weight loss treatments must be paid in full per your payment plan before a consultation and prescription of weight loss medication can be processed. Continually missed appointments will result in the cancellation of the treatment plan, and we may refuse service. Patients who fail to follow the plan or are suspected of misuse will have their program terminated and be blocked from the clinic. Patient’s using the Medical Weight Loss service are expected to provide details of their current GP so that we may share up-to-date information about their treatment. This is for your well-being and helps us ensure a safe, effective treatment.
Feedback
Any feedback is much appreciated, both positive and negative. Feedback is used to review and improve the quality of service. Our preferred feedback method is using google reviews or simply emailing us.
